1. Introduction

SeenByAI LLC (“SeenByAI,” “we,” “our,” or “us”) respects your privacy and is committed to protecting your personal information. This Privacy Policy explains what information we collect, how we use it, and the choices you have, in connection with our website and our Software-as-a-Service platform (the “Platform”), including the AI Readiness Scanner, AI Knowledge Engine, dashboards, and related tools (collectively, the “Services”). This Privacy Policy uses the same defined terms as the SeenByAI Terms of Service, which governs your use of the Services.

2. Information We Collect

2.1 Account and Contact Information

• Name, email address, and company name.
• Account credentials and Subscription tier.
• Billing contact information and payment details, processed securely by our third-party payment processor. SeenByAI does not store full payment card numbers on its own systems.

2.2 Business and Website Information You Submit

• Website URLs and business information submitted for AI Readiness scans, schema generation, or other Platform features.
• Content you provide for the AI Knowledge Engine to use in generating schema, llms.txt files, robots.txt configurations, or content drafts.

2.3 Data From Connected Integrations

• Where you connect a third-party account, such as Google Analytics, to enable a feature like AI Traffic reporting, we access the specific data needed to provide that feature, as described in Section 5.

2.4 Usage, Device, and Technical Data

• Usage analytics, such as which features and dashboards you access.
• Device and browser information, IP address, and general location derived from IP address.
• Cookies and similar tracking technologies, as described in Section 7.

2.5 Communications

Support requests, feedback, and other communications you send us.

3. How We Use Your Information

We use the information described above to:

• Provide, operate, and maintain the Services, including generating Scores, reports, and AI Optimization Assets.
• Process Subscription payments, renewals, and billing communications.
• Respond to support requests and other communications.
• Send service updates, billing notices, and, where you have not opted out, product communications.
• Monitor, secure, and improve the Platform, and prevent fraud or abuse.
• Comply with legal obligations.

We do not sell your personal information.

4. AI Processing and Website Analysis

When you submit a website or business information for analysis, the Platform may:

• Crawl publicly available pages of the submitted website.
• Analyze website structure, metadata, and content for AI Readiness scoring and related Scores.
• Generate AI-assisted recommendations and Generated Content, such as schema markup, llms.txt files, and content drafts.
• Where the applicable Subscription includes AI Market Intelligence or related Beta Features, run prompts against supported third-party AI platforms to measure how a business is mentioned or cited, as described in the Terms of Service.

Submitted website and business data is used to provide the requested Services and is not used to provide services to unrelated third parties without your authorization.

5. Google Analytics Integration (AI Traffic)

Where a Subscription plan offers AI Traffic reporting, you may connect your own Google Analytics (GA4) account to the Platform. When you do, SeenByAI accesses traffic and referral data from your connected Google Analytics property, including referral source data used to identify sessions arriving from AI platforms, solely to display that information back to you within your dashboard.

• SeenByAI accesses only the Google Analytics data necessary to provide AI Traffic reporting, using the access scope and authorization you grant through Google’s own account connection flow.
• You may disconnect the integration at any time through your Account settings or through your Google Account permissions, which will stop future data access.
• Use of information received from Google Analytics is subject to the Google API Services User Data Policy, including the Limited Use requirements, where applicable.

ATTORNEY / COMPLIANCE REVIEW FLAG: Confirm the specific Google Analytics / Google API scopes requested match the Google API Services User Data Policy Limited Use requirements before this feature ships, and confirm whether a separate Google-specific disclosure is required on the connection screen itself, not just in this Policy.

6. AI Optimization Assets and Content You Generate

Content generated through the AI Knowledge Engine, such as schema, blog drafts, or FAQ content, is generated using the business information and website content you provide. We do not use one customer’s submitted business information to generate content for another customer’s Account.

7. Cookies and Tracking Technologies

We use cookies and similar technologies to operate the Services, remember preferences, keep you signed in, analyze traffic and performance, and, where applicable, support marketing measurement. You can manage cookie preferences through your browser settings, and, where required by law, through a cookie consent tool on our website.

8. Third-Party Service Providers

We use trusted third-party providers to operate the Services, including:

• Payment processors, to handle Subscription billing.
• Cloud hosting and infrastructure providers.
• Third-party AI platforms and APIs (such as those operated by OpenAI, Google, Anthropic, and Perplexity), used to generate recommendations or, on eligible Subscription tiers, to test prompts as part of AI Market Intelligence.
• Google Analytics, where you have connected your own account as described in Section 5.
• Analytics, email delivery, and customer support tools.

These providers process information on our behalf and are contractually restricted from using it for purposes other than providing services to SeenByAI, except as described in this Policy.

9. Data Sharing and Disclosure

We do not sell your personal information. We may disclose information:

• To the third-party service providers described in Section 8, to operate the Services.
• Where required by law, regulation, legal process, or governmental request.
• To protect the rights, property, or safety of SeenByAI, our Users, or others.
• In connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.

10. Data Security

We implement reasonable technical and organizational measures designed to protect your information, including access controls and encryption in transit for sensitive data such as payment information. No online transmission or storage system is completely secure, and we cannot guarantee absolute security.

11. Data Retention

We retain information for as long as necessary to provide the Services, maintain your Account and Subscription history, meet legal and tax obligations, resolve disputes, and improve Platform functionality. Following Account cancellation, we retain Customer Data for a limited period in accordance with our standard retention schedule, after which it is deleted or anonymized, except where longer retention is required by law or necessary to resolve disputes.

12. Your Privacy Rights

Depending on your location, you may have the right to access, correct, delete, or export your personal information, withdraw consent, or object to certain processing. To exercise these rights, contact us using the details in Section 18. We will respond in accordance with applicable law.

13. California Privacy Rights (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), gives you additional rights with respect to your personal information, including the right to know what personal information we collect and how it is used, the right to delete personal information we hold about you, the right to correct inaccurate personal information, and the right to opt out of the sale or sharing of personal information. SeenByAI does not sell personal information and does not share personal information for cross-context behavioral advertising, as those terms are defined under the CCPA/CPRA.

To submit a request under the CCPA/CPRA, contact us using the details in Section 18. We will verify your identity before fulfilling your request, consistent with legal requirements. You will not receive discriminatory treatment for exercising these rights.

14. International Data Transfers and Non-U.S. Users

SeenByAI is based in the United States, and information we collect is primarily processed in the United States. If you access the Services from outside the United States, your information may be transferred to, stored, and processed in the United States or other countries where our service providers operate, which may have different data protection laws than your home jurisdiction.

15. Beta Features

Features labeled Beta, Coming Soon, or Preview, including AI Authority scoring and AI Market Intelligence, may involve evolving data collection and processing methods as we develop them. We will update this Policy as these features move from Beta to general availability, and any material change in how we process personal information for a Beta Feature will be reflected in this Policy or communicated to affected Users before general release.

16. Children’s Privacy

The Services are not directed to individuals under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will delete it.

17. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated “Last updated” date, and, where changes materially affect how we handle your personal information, we will make reasonable efforts to provide notice. Continued use of the Services after an update constitutes acceptance of the revised Policy.
